Standard Operating Procedure (SOP): Canva Portfolio File Export

Objective: To systematically review, format, and export professional portfolios from Canva to ensure optimal resolution, active hyperlink functionality, and proper format deployment for target use cases (digital or print).

1. Pre-Export Quality Assurance (QA)

Before initiating the export, verify the document layout to prevent formatting errors:

  • Check the Safe Margins: Click File > View Settings > Show Margins. Ensure all essential text, contact info, and logos reside at least 0.25 inches away from the trim edge.
  • Verify Print Bleeds (For Print Portfolios Only): Click File > View Settings > Show Print Bleed. Extend all background colors and imagery out past the outer border line to guarantee edge-to-edge printing without white borders.
  • Audit Hyperlinks: Ensure all text strings, icons, or buttons directing to external project sites or a LinkedIn profile have functional, active URL attachments.

2. Standard Export Procedures

Option A: Digital PDF Portfolio

Best for email attachments, job boards, or platforms where hyperlinks must remain interactive.

  1. Click Share in the top-right corner.
  2. Click Download from the options.
  3. Select PDF Standard as the file type.
  4. Verify All pages are checked.
  5. Ensure Flatten PDF is turned OFF to keep hyperlinks clickable.
  6. Click Download.

Option B: Print-Ready PDF

Best for physical interviews, leave-behinds, or hard-copy lookbooks.

  1. Click Share and select Download.
  2. Change file type to PDF Print (300 DPI).
  3. Check Crop marks and bleed.
  4. Check Flatten PDF to prevent missing font layers.
  5. Select RGB for office printing or CMYK for commercial printing.
  6. Click Download.

Option C: Web Link

Best for interactive presentations, dynamic case studies, or auto-updating live viewing.

  1. Click Share and select More > Website.
  2. Choose Scrolling or Presentation layout.
  3. Customize your portfolio URL and descriptions.
  4. Click Publish Website.
  5. Copy the generated Live URL for dynamic updates.
